Munich Re: Global Communications Workshop Week
Bringing a global communications team together in Singapore.

Overview
Munich Re brought its global communications team together in Singapore to exchange ideas, strengthen working relationships, and plan how to collaborate across markets. A welcome gathering and 3 workshop days gave colleagues time to connect and work together in person.
The Challenge
A shared agenda was only the starting point. Bringing colleagues together across markets also meant finding the right venue and coordinating catering, transport, and materials. The programme needed to make room for focused discussions and informal conversations, with a clear view of costs, deadlines, and preparations throughout.
The Solution
I supported the planning and delivery of the programme by:
- Comparing venue prices, layouts, catering, and equipment, and supporting the venue booking.
- Coordinating transport, meals, gifts, and presentation decks.
- Maintaining planning trackers and coordinating the event schedule on site to help everything run smoothly and on time.
Choosing a venue that worked
Venue research came first. I built a shortlist and compared costs, room layouts, catering, and equipment to find a space that suited the team’s needs. The selected venue offered a comparable workshop package at around 13% less than the other hotel quote, helping keep venue costs down.
Tracking the budget
Venue packages were only part of the picture. Tracking transport, meals, and materials alongside them gave the organising team a clearer view of the budget as plans developed.
Keeping the details connected
On site, I helped keep the programme moving smoothly and sessions running on time. A shared checklist kept room setup, AV checks, transport, catering, and deadlines in view.
Preparing a clear programme
Leadership updates, working discussions, and practical exercises each had a place in the agenda. I coordinated presentation materials and logistics to help speakers and participants move through the programme with a clear sense of what came next.
Making space for connection
Connection mattered beyond the workshop sessions. I chose and booked Kitchen Showdown for a hands-on cooking challenge where colleagues could get to know one another and work together outside the meeting room. Shared meals added a personal welcome for visiting colleagues.
